Interviews

Six emails to find a Tuesday. Every time.

Scheduling is the least interesting part of recruitment and it consumes more of a recruiter's week than sourcing does — mostly as a negotiation conducted by email between three people in two timezones.

The mechanic

You post windows. Somebody takes one.

Rather than asking for availability and reconciling replies, you offer a set of windows. A candidate takes one from a link, already signed in to their portal. On agency work the client takes one from theirs.

Everything is shown in the recipient's timezone, which removes the most common way this goes wrong.

Windows you posted · their timezoneone tap to take one
  • Tue 30 Sep · 10:00Passed
  • Tue 30 Sep · 15:30Taken
  • Wed 01 Oct · 11:00Open
  • Wed 01 Oct · 16:00Open
  • Thu 02 Oct · 09:30Open
Two people cannot take the same window — the second one is told, not double-booked. That guarantee lives in the database rather than in hoping nobody clicks at the same moment.
Illustrative
  • Two people cannot take the same window

Guaranteed at the database rather than hoped for. The second person is told, not double-booked.

  • Panels, with the roster behind them

Who is interviewing, for what, and who has an outstanding scorecard — the chasing is a job the product does.

  • Reminders before, chasing after

The candidate is reminded; the panellist who has not filed a scorecard is chased, and escalated if it stays unfiled.

  • Recording is per interview

Switchable when you schedule and again when you reschedule, because the answer changes between a screening call and a final round.

What it does not do

There is no calendar-availability check.

The windows you post are the windows you decided on. The product does not read your interviewers' calendars and propose free slots, and there is no two-way calendar sync.

Nor can a candidate reschedule themselves once they have taken a slot — that goes back through the recruiter. If self-service rescheduling is load bearing for your volume, that is the question to put to us directly.

Practical questions

Asked by whoever runs the coordination.

Does it check our interviewers' calendars?

No. You post windows you know work. There is no availability lookup and no two-way calendar sync today.

Can the candidate reschedule themselves?

No. Taking a slot is self-service; changing it is not.

Can our client pick the slot instead?

Yes — on agency work the client takes one from their own portal, which removes you from the middle of the most tedious thread in the process.

What does the candidate actually see?

When, where, the stage, the focus areas and how many people will be there. Deliberately not the interviewers' names, so a last-minute swap is not a broken promise.

What happens if a panellist never files their scorecard?

They are chased, and then escalated. The gap is visible rather than discovered in the debrief.

Book a demo

Schedule one from both sides.

Post three windows, take one as the candidate, then try to take the same one again in another tab.
